Title: Facilities Administrator
Location: San Francisco, CA (Fully On‑Site)
Schedule: Tuesday–Saturday, 9:00 a.m.–6:00 p.m.
Salary range: $50,000-60,000
The Facilities Administrator supports a Repairs and Maintenance team by coordinating work orders and ensuring timely completion of maintenance tasks across a multi‑building portfolio.
Primary Responsibilities
• Serve as the primary contact for walk‑in maintenance concerns at assigned properties
• Receive, document, and track maintenance requests from residents, staff, and property personnel
• Create, assign, update, and close work orders within a property management system in a timely manner, supporting a large portfolio of buildings
• Develop a strong understanding of approved vendors and service providers
• Prioritize and dispatch work orders to in‑house maintenance staff and union or third‑party vendors
• Monitor open requests to ensure timely resolution and follow up as needed
• Partner with maintenance and internal teams to communicate urgent issues and recommendations
• Communicate scheduled maintenance activities or service disruptions to residents or departments
• Respond professionally to maintenance‑related questions or concerns
• Coordinate customer service efforts across multiple departments, both on‑site and remotely
• Assist with bid requests for maintenance or repair projects
• Provide updates related to building certifications and compliance requirements
• Manage service ticket follow‑ups and action items within a ticketing platform
Minimum Requirements and Qualifications
• Experience with work order, ticketing, or property management systems preferred
• Strong written and verbal communication skills
